Google Drive Activity Report
An administrator can actively monitor the domain users’ activity of files within the Google Drive Activity submenu. A real-time activity log displays all domain users’ Google Drive file actions and activities.
*Note: This feature is available to Collavate DLP users
Viewing Google Drive Activity Log
An administrator is able to view the Title of the file, action that is taken (activity), followed by the user performing the action, a file activity description, owner of the file, and the timestamp of activity. By default, the activity report log shows the activities of last 24 hours.
CSV Report Detail
When clicking on a user’s file activity, a popup will appear with the following details:
- History Tab
- View the time in which file activities took place
- See what actions users took with the file
- The name of the user, the role of the user, and whether or not the file was shared or trashed
- Revision Tab
- View when the file was modified
- View the number of revisions made at that time
- Permission Tab
- View all the names of people that contributed to the file
- See the role each user had in the file
Search Filter
By default, the Google Drive Activity Reports screen lists Google Drive user file activity within the last 24 hours. To search for Google Drive file activity further than the last 24 hours, select the pull out hamburger menu button for search filter options.
The search filter allows searching Google Drive domain activities by the File Owner, File Title, File activity, and selected calendar interval dates.
Below is a list of user file activities that you can filter search results by:
- All Activity
- View
- Edit
- Create
- Moved
- Deleted
- Trashed
- Untrashed
- Permissions Changed
- Made Private
- Shared
- Starred
- Remove Starred
- Renamed
- Changed Owner
- Update Tags
- Updated Security
- Multiple Edits
- Processed
To search an activity from a desired period of time/dates, click on the calendar icon to bring down a month view of dates. The first date chosen is the begin search date, and the second date selected is the end search date of domain’s Google Drive file activity.
Exporting Google Drive Activity to a Spreadsheet
Using the button in the top right, “Export To Spreadsheet”, you can export the list of activities that you are currently viewing to a spreadsheet on Google Drive. If you want to export more actions, scroll down the list and stop where you want to end the exported list.
