This feature is available on Collavate Business and Collavate admin can enable CC and Groups CC. To enable this function, you need to turn on Recipient(CC/Group CC Email). Click here to see the help guide.
Users can add individual users to the CC tab, if they want those users to view the process. In addition, users can add organizations to the “Group CC” if they want a group of users to view the process. For more information, please read below.
Using CC:
When starting a workflow process, the submitter can utilize the CC tab to allow any individual users to view the process. To add members, simply start typing the user ID of the individual(s) you want to view the process. Alternatively, you can start typing the user’s name and Collavate will have a list of suggested users.
CC'ed users will get an email notification and will be able to view the process on their feed when the entire process is approved
NOTE: Adding group emails to this tab will not work, please see “Using Group CC” guide below.
Using Group CC:
In order to use Group CC, the administrator of your domain must create a group email(s) in the G-Suite Admin Panel. Next, in the Collavate admin menu, the administrator must sync “Users”, "Groups", and “Organization Chart”. After the administrator must go the “Organization” tab and set up the group email just created to any organization they like. Once an email has been set to an organization, users can add organization to the Group CC tab, if the submitter wants a specific group to view the process.
Group CC'ed users will get an email notification and will be able to view the process at their feed only when the entire process has been approved.
NOTE: You cannot Group CC an organization unless a group email is set up within "Organization" menu page under Admin console.
After creating a group email in G-Suite Admin, the administrator must sync both Organization Chart and Users.
Once a group email is set with an Organization, users can add that Organization if submitter wants a group to view the process.
Example Case: Sharing with a group email attached to an Organization Chart.
Following the above screenshot, for example, if an admin attaches the email ussalesexample@example.com to "US Sales" under Organization menu of Admin, different users will have certain viewing restrictions.
For example, if users John and Mary are members of the "US Sales" organizational unit, and users Steve and Michael are only members of the G Suite groups email ussalesexample@example.com, both user groups will have different viewing restrictions of a shared file.
Steve and Michael will get a notification but will not be able to view the process at Collavate.
John and Mary will not get an email notification, but they will be able to view the process at Collavate at the "Process" page under "CC'ed Docs".
Therefore, setting up with same member for both groups email and Group CC is the best way to avoid any conflicts.
